Ceremony Packages at Castleton
Every Castleton ceremony is designed to be beautiful and seamless. All ceremony packages include:
- 30-minute rehearsal, typically scheduled within six months of your event based on availability
- Exclusive use of an on-site ceremony location (30 minutes)
- Set-up and breakdown of ceremony chairs
- Use of a Signature Suite with (4) LED-lit vanities for hair and makeup, a full-length mirror, lounge seating with coffee table, a high-top table and chairs, bridal gown hooks, and a Bluetooth speaker system for your favorite getting-ready playlist
For outdoor ceremonies, if inclement weather rolls in, your event can be moved to our covered patio or indoors. Our team will confirm the best location with you based on the schedule and guest count.
NEW Signature Suites
At Castleton, your ceremony isn’t just a moment; it’s the start of a beautiful experience. Our two Signature Suites—the Hampshire and the Searles—offer a private, elegant sanctuary to prepare, relax, and savor time with your inner circle before you walk down the aisle. Expect natural light, comfortable seating, vanity stations, and thoughtful touches that make getting ready effortless and photo-worthy.

Your Year-Out Wedding Countdown
Once you’ve picked the date, time, and place, it’s time to bring your dream wedding day to life. Let the countdown begin! Our team is excited and here to make each milestone as simple and stress-free as possible.
9-12 Months Ahead
- Set your vision and priorities. Decide your must-haves (live band, photography style, signature cocktail). Keeping these non-negotiables clear makes budgeting easier in the long run.
- Build your guest list and send Save-the-Dates. A rough headcount helps you size up rooms, menus, and budget.
- Start vendor research. Use our Preferred Vendors list to find trusted professionals, including photographers, videographers, florists, DJs, and more. These pros know our spaces and understand how to create the perfect day.
- Take a tour and explore menus. From elegant plated dinners to interactive stations and late-night bites, our various menus give you lots of delicious options to delight your guests.
Tip: Create a shared planning hub (Google Drive or Notion) with folders for contracts, timeline, floor plans, and contact lists.
6-9 Months Out
- Lock in key vendors. Hair and makeup, officiant, entertainment, photo/video, and floral calendars fill fast.
- Design your high-level day-of schedule. Prep, first look, ceremony, cocktail hour, reception, send-off. Your Castleton coordinator will help you fine-tune it.
- Six-month details appointment. This is when planning kicks into high gear: review vendors and menu selections, and set your rehearsal and drop-off details for the week of your wedding. Your second deposit (50% of your food minimum) is due at this time.
- Food tasting. This typically occurs around the six-month mark, with two complimentary seats (additional guests are $40/pp). Castleton presents most entrées and select hors d’oeuvres from the chef’s favorites.
Tip: For your tasting, bring any dietary notes, take quick plate photos, and rank each dish to make choosing your final menu effortless.
3-6 Months Before
- Book the rehearsal dinner: Be sure to book it early and keep it close by for convenience. You can even host an intimate dinner right here with Waterfront Private Dining on Cobbetts to keep logistics easy and the vibe relaxed.
- Send formal invitations. Include RSVP deadline, dietary requests, and a clear note on whether children are invited.

Tip: Build a simple “shot list” for your photographer and a “song list/do-not-play” list for your DJ. Share finalized versions about one month out.
1–3 Months To Go
- Finalize menu selections. Finalize main courses, stations, late-night bites, and other add-ons. Reference our Wedding & Special Event Menu and Food With Flair Menu, and coordinate any dietary needs with our team.
- Confirm vendors and distribute the day-of schedule. Send arrival times, load-in instructions, and the ceremony cue sheet to every vendor on one email thread, so everyone knows exactly what to expect.
- Explore Signature Suites. Choose your unique experience by selecting from the Signature Moment, Signature Spark, or Signature Experience. You can also add enhancements like light refreshments. Include your package in your initial contract to guarantee availability.
Tip: Put one trusted friend in charge of your emergency kit (lint roller, safety pins, eyelash glue, stain stick, pain relievers, mints, chargers).
Two Weeks ‘Til the Big Day
- Finalize headcount and seating chart. Final headcount is due on a Wednesday, two weeks before your date. You’ll have a phone review the previous week to confirm counts, meal selections, and vendors; after the following Wednesday, the count is locked; don’t worry, you can still add guests!
- Confirm rentals and décor. Note what Castleton provides and what your florist/decorator will handle; label bins by table/area for easy set-up.
- Confirm rehearsal details. Scheduled at your six-month meeting for the week of. Plan for about 45 minutes for the drop-off (menu/timeline review and paperwork) plus a 30-minute ceremony rehearsal; officiant is optional. Multiple rehearsals may share the space that evening.
Tip: Don’t forget to have fun with the planning. And be sure to include plenty of time for self-care.
The Week-Of
- Finalize the floor map and linens. Tables seat 8-10; choose White, Champagne, or Black tablecloths with your preferred napkin color. Email a copy/photo of your floor map to Castleton by Monday of event week and bring the hard copy to drop-off.
- Deliver décor at drop-off. Your coordinator will place your assembled items, light candles, and turn on battery-operated pieces, but won’t alter DIY items (remove stickers, cut/arrange florals, etc.). For trellis fabric/florals, designate a florist; you’ll have access to the trellis one hour before the ceremony.
- Décor policies. Candles must be enclosed in glass; no confetti, birdseed, rice, or silly string. For on-site ceremonies, tossed petals must be real.
- Weather watch. We hope you have the weather you’re dreaming of, but we’ve got you covered no matter what. Your coordinator will finalize any location shifts with you if rain or wind rolls in; we have beautiful indoor solutions.
Tip: Choose a rain plan you like. At Castleton, outdoor ceremonies can seamlessly transition into covered or indoor options.
Wedding Day
- Fuel up and hand off your phone. Eat your favorite breakfast, then give your phone to a trusted friend. Your loved ones (and the team at Castleton) will take care of you.
- Settle into your Suite. You’ll have access to the bridal suite 90 minutes before your event; it’s perfect for touch-ups and pre-ordered snacks and drinks before walking down the aisle. Relax with your crew before the main event.
- Trust the plan. Your Castleton coordinator arrives two hours before, places décor, keeps the timeline moving, and helps the team get dinner out quickly. At the end, they’ll pack your décor for pickup that night (cards/gifts go home with you).
Tip: Remember to breathe! Your vendors and the entire Castleton staff will have rehearsed this moment right alongside you. Everything will be wonderful.
Smart Ways to Save
- Consider an “Around the Corner” wedding. If you’re flexible on timing (off-season months, weekday dates, or booking within six months), you can unlock excellent savings and more available dates without compromising style or guest experience.
- Resize your guest list. Fewer guests mean more budget per person; think upgraded entrées, live musicians for cocktail hour, or a late-night snack station.
- Lean on the setting. With waterfront views and landscaped grounds, you can simplify florals and décor; nature does the heavy lifting here.
- Choose interactive or brunch menus. Brunch receptions and creative stations can be both delicious and distinctive, while also being budget-friendly. Our menu portfolio makes it easy to design the right mix.
Low-Stress Planning Tips
- Assign a “you” proxy. Nominate one point person (not you!) to be the decision-maker for tiny day-of questions.
- Create a vendor cheat sheet. One page with names, arrival times, mobile numbers, and the rain plan. Email and print it.
- Use a wedding website with RSVPs. Set clear RSVP and meal-choice deadlines; auto-reminders save you dozens of follow-ups.
- Time-block your morning. Build in buffers for first look, family photos, hydration, and a quiet 10 minutes before the ceremony.
